Build Trust: AI Ethics & Transparency for Small Businesses

Customers and staff need to understand what an AI-enabled process does and who is responsible when something needs attention. Practical transparency means explaining the parts that affect their decisions, keeping important facts accurate and providing a way to correct mistakes.

Start with the actual use. A writing assistant preparing an internal draft differs from a customer-facing chatbot or a system changing account records. The explanation and controls should fit the work rather than rely on a generic statement that the business uses AI responsibly.

Explain the interaction in plain language

If customers are speaking with an automated assistant, say so and describe what it can help with. Make the route to a person clear. Do not imply that a live employee is typing or available when that is not the service being provided.

For generated drafts, show staff what requires review. A polished paragraph can still contain an invented fact. The person approving a customer-facing document needs to know which claims, calculations and commitments to verify.

Keep responsibility explicit

Name the role responsible for the information, the operating process and exceptions. Decide who can approve changes to prices, policies or account access. A system should not acquire more authority merely because an assistant can propose an action.

Keep a useful record of important actions and their outcomes. The business should be able to understand what was requested, what was approved and what the connected system actually did.

Use real evidence in published content

Separate an illustrative example from a documented client project. Do not turn an imagined scenario into a testimonial or an unsupported performance claim. When publishing a result, identify the period, definition and supporting record.

For AI-assisted publishing, Google’s guidance on generative AI content emphasizes accuracy, quality and context. The practical editorial task remains yours: verify the information and decide whether the page adds value for its intended reader.

Be deliberate about customer information

Identify the information the task needs and avoid collecting unrelated details. Understand where the chosen tools store and process that information, who can access it and how the business will remove it when appropriate.

Use the provider’s current documentation and the business’s actual policies when describing these practices. Privacy, communication and disclosure obligations depend on the specific use and applicable rules; a generic AI statement does not settle those questions.

Give people a correction path

A customer should be able to challenge an answer, correct a detail or ask for a person. Staff need a process for fixing the source information as well as the immediate response. Otherwise, the same error can recur in the next conversation.

Test what happens when the assistant lacks information or cannot complete an action. It should communicate the uncertainty and offer a useful next step. Reporting an attempted action as completed undermines trust even when the underlying fault is temporary.

Review the process as it changes

New software, new source material and new responsibilities can change the behavior of an AI workflow. Revisit the explanations and controls when the scope expands. Keep the operation understandable to the people using and maintaining it.

The objective is a service people can assess and use confidently, with clear ownership and a practical response when something goes wrong.
